Manage Allocation Patterns

Manage allocations patterns allows you to create and delete allocation pattern accounts and edit the properties of existing allocation pattern accounts.

Accessing manage allocation patterns

  1. Depending on your Longview system, select either the Transfer Pricing or Consolidate module.
  2. Select the Administration category.
  3. Expand Allocations.
  4. Click Manage Allocation Patterns. The Manage Allocation Patterns dialog appears.

Importing allocation patterns

The import option in the Manage Allocation Patterns dialog allows you to create and update allocation patterns in the database from a .csv file.

To import allocation pattern accounts:

  1. For Option, select Import.
  2. Select the .csv file to import from. 
  3. To skip confirmation of each new parent assignment, check the Automatically confirm parent assignment option.
  4. Click OK. A table will be displayed showing the summary of all actions performed by the import.

    Note: If there are any issues with the file, a table will be displayed indicating the issues. No changes will be made.

Parameter Description

Name

The name of the allocation pattern account.

Description

The description of the allocation pattern account.

Type

Indicates whether the symbol is STATIC, STANDARD or CARRYFORWARD.

Parent

The name of a parent to assign the allocation pattern account to. The allocation pattern account will become a child of the specified parent, and the values in the parent will be calculated from all its children.

Sort Order

Indicates the order of the allocation pattern account under the parent, with lower numbers ordered before higher numbers. You can specify NULL or 0, which will assign the sort order as 0, which results in the symbol being sorted by when it was created.

Pattern Area

Indicates the area the pattern will be stored in for the allocation pattern account.

A pattern area is only required on a leaf level allocation pattern. For a parent level allocation pattern, this can be set to ""

Note:

For leaf level allocation patterns:

  • Symbols from all dimensions specified in the ASAllocationPatternDimensions system attribute must be defined in the pattern area
  • A symbol from the accounts dimension does not need to be defined in the pattern area as the pattern will use the allocation pattern account.
  • A symbol from the timeperiod dimension does not need to be defined in the pattern area as the pattern will use the timeperiod defined by the allocation.
  • Any dimension not defined in the ASAllocationPatternDimensions attribute do not need to be specified and will default to the <Dimension>_Input symbol

Row Dimensions

Indicates the dimension(s) that will appear in the row orientation of the allocation pattern input app.

Note:

  • A row dimension is only required on a leaf level allocation pattern. For a parent level allocation pattern, this can be set to "".
  • At least one row dimension must be defined for all leaf level patterns.
  • The order of the row dimensions defined will determine the order, from outer to inner, that these dimensions will appear in the allocation pattern input app.
  • For a leaf level allocation pattern, a dimension can only be defined once for either row dimensions, column dimensions, or slice dimensions.

Column Dimensions

Indicates the dimension(s) that will appear in the column orientation of the allocation pattern input app.

Note:

  • A column dimension is only required on a leaf level allocation pattern. For a parent level allocation pattern, this can be set to "".
  • At least one column dimension must be defined for all leaf level patterns.
  • The order of the column dimensions defined will determine the order, from outer to inner, that the dimensions will appear in the allocation pattern input app.
  • For a leaf level allocation pattern, a dimension can only be defined once for either row dimensions, column dimensions, or slice dimensions.

Slice Dimensions

Indicates the dimension(s) that will appear in the slice orientation of the allocation pattern input app.

Note:

  • If no slice is required for the allocation pattern input app, this can be set to "".
  • For a leaf level allocation pattern, a dimension can only be defined once for either row dimensions, column dimensions or slice dimensions.

Managing allocation patterns

The Manage option in the Manage Allocation Patterns dialog allows you to create, update and delete allocation pattern accounts from within the Manage Allocation Patterns table.

To manage allocation patterns:

  1. For Option, select Manage.
  2. Select the allocation pattern accounts to manage. In the Manage Allocation Patterns table, the list of allocation pattern accounts selected are displayed.

Working with the hierarchy

Manage Allocation Patterns displays the selected allocation pattern account in a hierarchical view. The view is initially expanded two levels below the selected allocation pattern account.

To change the level of expansion:

  1. Click a collapsed hierarchy icon to expand the hierarchy one level below the selected symbol.
  2. Click an expanded hierarchy icon to collapse the hierarchy to the selected symbol.
  3. Right-click on the top row and select one of these options:
    • Expand All for Selected Row: Expands the entire hierarchy below the selected symbol.
    • Collapse All: Collapses the entire hierarchy.
  4. Right-click on a parent row and select one of these options:
    • Expand All for Selected Row: Expands the entire hierarchy below the selected symbol.
    • Collapse All: Collapses the entire hierarchy.
    • Collapse Parent: Collapses the hierarchy to the parent of the selected symbol.
  5. Right-click on a leaf row and select one of these options:
    • Collapse All: Collapses the entire hierarchy.
    • Collapse Parent: Collapses the hierarchy to the parent of the selected symbol.

Adding an allocation pattern account

To add a new allocation pattern account:

  1. Select a row in the table. The new allocation pattern account will be assigned as a child of the selected account.

    Note: You can add a new allocation pattern account that has similar settings to an existing account by selecting a row and clicking duplicate.

  2. Click Add. The Add dialog appears.
  3. Fill in the following fields:
    1. Name: Enter the name of the allocation pattern account. The name of the account is limited to 31 characters.

    2. Description: Enter a description for the allocation pattern account. The description of the account is limited to 100 characters.

    3. Parent: Select, or enter, the name of the parent to assign the allocation pattern account to.

      Note: You can also click the search button to open the symbol selector dialog to access advanced search options.

    4. Sort Order: Enter a number to define the order of the allocation pattern account under the parent. Allocation pattern accounts are sorted from low to high. Allocation pattern accounts added with a sort order of 0 will appear last, in the order the account was created.

  4. Click OK to add the new symbol to the table.

    Note: Allocation pattern accounts are not added to the database until you click Apply.

  5. For each allocation pattern account added fill in the following additional fields:
    1. Type: Select STANDARD, CARRYFORWARD, or STATIC to indicate the type of the symbol.

      Note: The type for STATIC symbol types cannot be modified.

    2. Pattern Area: Select the area the pattern will be stored in for the allocation pattern account.

      Note:

      • For leaf level allocation patterns:
        1. Symbols from all dimensions specified in the ASAllocationPatternDimensions system attribute must be selected in the pattern area for any leaf level allocation patterns.
        2. A symbol from the accounts dimension does not need to be defined in the pattern area as the pattern will use the allocation pattern account.
        3. A symbol from the timeperiod dimension does not need to be defined in the pattern area as the pattern will use the timeperiod defined by the allocation.
        4. Any dimension not defined in the ASAllocationPatternDimensions attribute will default to the <Dimension>_Input symbol.
    3. Row Dimensions: Select the dimension(s) that will appear in the row orientation of the allocation pattern input app.

      Note:

      • At least one row dimension must be selected for all leaf level patterns.
      • The order of the row dimensions selected will determine the order, from outer to inner, that the dimensions will appear in the allocation pattern input app.
      • A dimension can only be selected once for either row dimensions, column dimensions, or slice dimensions.
    4. Column Dimensions: Select the dimension(s) that will appear in the column orientation of the allocation pattern input app.

      Note:

      • At least one column dimension must be selected for all leaf level patterns.
      • The order of the column dimensions selected will determine the order, from outer to inner, that the dimensions will appear in the allocation pattern input app.
      • A dimension can only be selected once for either row dimensions, column dimensions, or slice dimensions.
    5. Slice Dimensions: Select the dimension(s) that will appear in the slice orientation of the allocation pattern input app.

      Note:

      • If no slice is required for the allocation pattern input app, all dimensions can be left to <Unused>.
      • A dimension can only be selected once for either row dimensions, column dimensions, or slice dimensions.

Deleting an allocation pattern account

Delete an allocation pattern account by selecting the row and clicking delete. The allocation pattern account is not deleted from the database until you click Apply.

Modifying an allocation pattern account

You can change the properties of an existing allocation pattern account:

  1. Modify the description by editing the value in the Description cell.
  2. Change the order the allocation pattern account appears under its parent by modifying the sort order value.
  3. Change the type of the allocation pattern account by selecting a different type.

    Note: The type for STATIC symbol types cannot be modified.

  4. To change the parent of an allocation pattern account:
    1. Select the row in the table.
    2. Click Edit. The Edit dialog appears.
    3. Enter or select a new parent.
    4. Click OK.
  5. Change the pattern area by selecting different pattern area symbols.
  6. Change the row, column, or slice orientation by selecting different dimensions.

No changes are made to the database until you click Apply.

Applying changes

To apply changes to the allocation pattern accounts click Apply.

For new rows in the table:

  • Each new account will be added under the selected parent symbol.

For modified accounts:

  • Any description changes will be applied.
  • If the parent allocation pattern account is changed, the allocation pattern account will be reassigned to the new parent with the specified sort order.
  • Any changes to the sort order (same parent account) will be applied.
  • Any changes to the type will be applied.
  • Any changes to the pattern area will be applied.
  • Any changes to the row dimensions will be applied.
  • Any changes to the column dimensions will be applied.
  • Any changes to the slice dimensions will be applied.

For deleted accounts:

  • Each deleted allocation pattern account will be confirmed before deleting.
    • If confirmed, the related symbol is deleted.
    • Otherwise, the row is restored to the table.

Results:

  • All actions performed are presented at the end of processing with:

    • Each row identified by its symbol name

    • The action performed or the reason any error occurred.

  • Any valid changes, not cancelled, are applied.

Refreshing the allocation pattern accounts

  • Click Refresh to refresh the list of allocation pattern accounts.
  • Click Symbols to change the selected allocation pattern account and refresh the list of accounts.

In either case, if there are any unapplied changes, you will be prompted to apply or discard any changes that have not yet been applied.

  • Choose Apply Changes to apply any changes made, then refresh the list of allocation pattern accounts. If there are any errors the refresh will not be performed.
  • Choose Discard Changes to discard any changes made, then refresh the list of allocation pattern accounts.
  • Click Cancel to return to the table without refreshing the list of allocation pattern accounts.

Exporting from the allocation patterns accounts table

Click Export to export from the allocation pattern accounts table to a .csv file.

  1. Select the .csv file to export to.

    Note: If the file selected does not currently exist, it will be created during the export process.

  2. Click OK. A confirmation dialog will appear. 
  3. Click View File to view the exported file.

Exporting allocation patterns

The Export option in the Manage Allocation Patterns Accounts dialog allows you to export allocation pattern accounts and their related settings from the database to a .csv file.

To export allocation pattern accounts:

  1. For Option, select Export.
  2. Select the .csv file to export to.

    Note: If the file selected does not currently exist, it will be created during the export process.

  3. Select symbols to export.
  4. Click OK. A confirmation dialog will appear. 
  5. Click View File to view the exported file.

Parameter Description

Adding an allocation pattern account

To add a new allocation pattern account:

  1. Select a row in the table. The new allocation pattern account will be assigned as a child of the selected account.

    Note: You can add a new allocation pattern account that has similar settings to an existing account by selecting a row and clicking duplicate.

  2. Click Add. The Add dialog appears.
  3. Fill in the following fields:
    1. Name: Enter the name of the allocation pattern account. The name of the account is limited to 31 characters.

    2. Description: Enter a description for the allocation pattern account. The description of the account is limited to 100 characters.

    3. Parent: Select, or enter, the name of the parent to assign the allocation pattern account to.

      • At least one column dimension must be selected for all leaf level patterns.
      • The order of the column dimensions selected will determine the order, from outer to inner, that the dimensions will appear in the allocation pattern input app.
      • A dimension can only be selected once for either row dimensions, column dimensions, or slice dimensions.
    5. Slice Dimensions: Select the dimension(s) that will appear in the slice orientation of the allocation pattern input app.

      Note:

      • If no slice is required for the allocation pattern input app, all dimensions can be left to <Unused>.
      • A dimension can only be selected once for either row dimensions, column dimensions, or slice dimensions.

Deleting an allocation pattern account

Delete an allocation pattern account by selecting the row and clicking delete. The allocation pattern account is not deleted from the database until you click Apply.
