Monitoring User Submissions

With the User Submissions tool, you can view information for batches that have been created in the system.

Accessing the User Submissions tool

You can access the User Submissions tool from the following locations, depending on the setup of your system and the products you have purchased:

  • Longview Add-In for Office — The User Submissions tool is available from the View group in the ribbon.
  • Longview Close — The User Submissions tool is available from the Consolidate module in the Administration category of the navigation pane under the Monitoring folder.
  • Longview Dashboard — The User Submissions tool is included with Longview Dashboard Designer as a system panel. Your System Administrator must add this panel to the appropriate Dashboard pages for you to access it.
  • Longview Transfer Pricing — The User Submissions tool is available from the Transfer Pricing module in the Administration category of the navigation pane under the Monitoring folder.
  • Longview Tax — The User Submissions tool is available from the Tax Provision module in the Administration category of the navigation pane under the Monitoring folder.

To access the User Submissions tool from the Longview Add-In for Office:

  1. Click the Longview tab.
  2. In the View group, click Submissions. The User Submissions tool opens in a new window.

To access the User Submissions tool in Close:

  1. From the Consolidate module, click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click User Submissions. The User Submissions tool opens in the workspace.

To access the User Submissions tool from your Longview Dashboard:

  1. On your Longview Dashboard page, click the View User Submissions link in the User Submission Status panel. The User Submissions tool opens in a new window.

To access the User Submissions tool in Longview Transfer Pricing:

  1. From the Transfer Pricing module, click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click User Submissions. The User Submissions tool opens in the workspace.

To access the User Submissions tool in Tax Provision:

  1. From the Tax Provision module, click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click User Submissions. The User Submissions tool opens in the workspace.

Viewing batch information

You can use the User Submissions tool to view information for all user submissions in the Data Server and search batch descriptions to highlight specific batches.

To view batch information:

  1. Open the User Submissions tool using the appropriate method.

  2. Review the following information:
    Field Description

    ID

    The system-assigned ID of the batch.

    Description

    The description of the batch.

    Owner

    The username of the owner of the batch.

    Status

    The status of the batch. Possible values are:

    • Completed — The batch completed successfully.
    • Error — The batch encountered an error and failed to complete.
    • In Progress — The batch is in progress.
    • Incomplete — The batch did not complete.
    • No Data — No data was modified by the batch.

    Created

    The date and time of creation of the batch.

    Completed

    The date and time of the completion of the batch, if available.

    Elapsed Time

    The amount of time required for the batch to complete (if it completed successfully), displayed in the format hh:mm:ss.

  3. To search by batch ID or description, type the characters that you want to search for in the Search Batches field. Matching characters are highlighted in the appropriate column.
    1. Click Next to select the next batch row containing highlighted characters.
    2. Click X to clear the Search Batches field and remove all highlighting.
  4. To refresh the batches list at any time, click Refresh. This updates the list to reflect batches currently in the system and removes any highlighting applied by a search.

    Note: Clicking Refresh does not remove an applied filter or return a sorted list to the default sort order.

Filtering batches

You can apply a filter to the batches list so that only batches that match the specified criteria display. You can also remove a filter that you have applied.

To filter batches:

  1. In the User Submissions list, click Filter. The Filter dialog opens.

  2. Complete one or more of the following fields:
    1. Owner: Type all or part of a username to filter the batches list for batches created by a specific user.

    2. Status: Select a status from the drop-down list to filter the batches list for batches that have that status.from the drop-down list to filter the batches list for batches that have that status.

    3. Created: To filter the batches list for all batches created in a range between two specified dates. All dates are displayed in mm:dd:yyyy format.

      Note: If the default language in your system is set to French, dates are displayed in dd:mm:yyyy format.

      • From — Type a date for the first day of the range to filter for or click the Calendar icon to select the date from the Calendar GUI. The default value for From is Anytime.

      • To — Type a date for the last day of the range to filter for, or click the Calendar icon to select the date from the Calendar GUI. The default value for To is Today.

        Note: You cannot enter a date past the current date.

  3. Click OK. Batches that match your specified filter criteria display in the batches list.

    Note: Applying a filter automatically removes an existing filter.

  4. To remove a filter, you have applied to the batches list, click Remove Filter.

Viewing batch details

The Details dialog displays extra information for batches. If the batch triggered server processes, an arrow indicates that you can expand the details to view this information.

Note: To see events triggered by the batch, you must analyze the batch.

To view batch details:

  1. In the User Submissions list, select the row for the batch you want to view details for.
  2. Click Details. The Details dialog opens.

  3. Expand the details as necessary, and review the following information:
    1. Server: The server on which the process is running. Possible values are:

      • Submission
      • Math
      • Elimination
      • Writer
    2. Status: The status of the item. Possible values are:

      • Completed — The item completed successfully.
      • Error — The item encountered an error and failed to complete.
      • In Progress — The item is in progress or pending (for Event items only).
      • Pending — The item is in the queue.
      • Incomplete — The item did not complete.
    3. Partition: The number of the partition on which the process is running.

    4. Queue: The position of the batch in the queue.

    5. Family: The data family on which the process is running. Possible values are:

      • unadjusted — Indicates the process is running on unadjusted data.
      • adjusting — Indicates the process is running on journal entry data.
      • schedule — Indicates the process is running on schedule data.
      • adjusting schedule — Indicates the process is running on journal entry data posted to a schedule.
    6. Data Type: The type of data on which the process is running. Possible values are:

      • leaf
      • parent
      • calculated
      • CTA
      • validation
    7. Elapsed Time: The total elapsed time to completion for the process, in the format hh:mm:ss.

Viewing related symbols

If your administrator has configured Data Area Monitoring, you can view the symbols affected by the selected batch.

To view related symbols for a batch:

  1. In the User Submissions tool, select the row for the appropriate batch.
  2. Click Related Symbols. The Related Symbols dialog opens.


  3. Review the following information in the header area:
    1. ID: The ID of the batch.

    2. Status: The status of the batch. Possible values are:

      • Completed — The batch completed successfully.
      • Error — The batch encountered an error and failed to complete.
      • In Progress — The batch is in progress
      • Incomplete — The batch did not complete.
      • No Data — No data was modified by the batch.
    3. Created: The creation date and time of the batch, in the format mm/dd/yyyy hh:mm:ss AM|PM.

    4. Completed: The completion date and time of the batch, in the format mm/dd/yyyy hh:mm:ss AM|PM.

    5. Elapsed Time: The total time for the batch to complete, in the format hh:mm:ss.

    6. Description: The description of the batch.

  4. In the symbols list, review the symbols modified by the batch.

    Note: Click Copy details to clipboard if you want to copy the batch information to the Microsoft Office clipboard.

  5. When you are finished, click OK to return to the Batches list.

Analyzing batches

In some cases, a batch may trigger an event that triggers other events, and subsequently, other batches. You can use the Analyze dialog to view information for all tiers of items resulting from the original batch, including the overall status of the batch and the total elapsed time that it took for it, and all triggered batches and events, to complete.

To analyze batch information:

  1. In the User Submissions list, select the row for the batch you want to analyze.
  2. Click Analyze. The Analyze dialog opens.

  3. Review information for the overall batch in the header area:
    1. Created: The creation date and time of the initial batch.

    2. Completed: The date and time when all the batches and events completed.

    3. Status: The status of the batches and events. Possible values are:

      • Completed — The batches and events completed successfully.
      • Error — One or more batches or events encountered an error and failed to complete.
      • In Progress — One or more batches or events are currently in progress.
      • Pending — One or more events are in the queue waiting to be processed.
      • Incomplete — One or more batches or events did not complete.
      • No Data — No data was modified by the initial batch.
    4. Elapsed Time: The total time for all batches and events to complete.

  4. Review information for each process in the list area:
    1. ID: The type of process (Batch or Event) and its ID. If an Event has a negative ID, it is in the queue waiting to be processed.

    2. From ID: The ID of the batch or event that triggered the batch or event.

    3. Rule ID: The Rule ID for the event.

    4. Description: The description of the batch or event.

    5. Status: The status of the batches and events. Possible values are:

      • Completed — The item completed successfully.

      • Error — The item encountered an error and failed to complete.

      • In Progress — The item is in progress or pending (for Event items only).

      • Pending — The item is in the queue.

      • Incomplete — The item did not complete.

    6. Created: The creation date and time of the batch or event.

    7. Completed: The date and time when the batch or event completed.

    8. Elapsed Time: The total time for the batch or event to complete.

  5. To refresh the processes list at any time, click Refresh. This updates the list to reflect the status of all batches and events triggered by the overall batch, and the completion date, time, and elapsed time if the batch or event is now completed.

    Note: Refreshing the processes list also displays the list fully expanded.

  6. When you are finished, click OK to return to the Batches list.

Deleting batch information

If the batches list becomes excessively long, you may be able to manage it by deleting batch information, depending on your authorization and system settings.

If you have Batches and Events authorization, you can delete batch information for all batches in the system. If you do not have Batches and Events authorization, you cannot delete batch information. For more information, contact your System Administrator.

Note: If Data Audit Trail is ON, you cannot delete batch information. To delete batch information when Data Audit Trail is ON, the System Administrator must reset the audit tables through Longview Application Administrator. This deletes all batch information.

To delete batch information:

  1. On the User Submissions page, select the check box adjacent to the batches you want to delete. To select all batches, use the Select All check box in the header row. The Delete button becomes available.

    Note: If you do not have authorization to delete batch information, the check boxes are unavailable.

  2. Click Delete. A confirmation dialog opens.

    Caution: If you delete batch information, it cannot be recovered. Use this function with caution.

  3. Click Delete to delete the selected batch or batches and return to the User Submissions page.

  1. On your Longview Dashboard page, click the View User Submissions link in the User Submission Status panel. The User Submissions tool opens in a new window.

To access the User Submissions tool in Longview Transfer Pricing:

  2. Expand the Monitoring folder.

Viewing batch information

You can use the User Submissions tool to view information for all user submissions in the Data Server and search batch descriptions to highlight specific batches.

To view batch information:

  1. Open the User Submissions tool using the appropriate method.

  2. Review the following information:
    Field Description

    ID

    The system-assigned ID of the batch.

    Description

    The description of the batch.

    Owner

    The username of the owner of the batch.

    Status

    The status of the batch. Possible values are:

    • Completed — The batch completed successfully.
    • Error — The batch encountered an error and failed to complete.
    • In Progress — The batch is in progress.
    • Incomplete — The batch did not complete.
    • No Data — No data was modified by the batch.

    Created

  6. When you are finished, click OK to return to the Batches list.

Deleting batch information

If the batches list becomes excessively long, you may be able to manage it by deleting batch information, depending on your authorization and system settings.

If you have Batches and Events authorization, you can delete batch information for all batches in the system. If you do not have Batches and Events authorization, you cannot delete batch information. For more information, contact your System Administrator.
