Querying Journal Entries

The Journal Entry Query app can be used to retrieve journal entry headers or details. The results of the query can be displayed in a table or exported directly to a comma separated values file (.csv).

Accessing Journal Entry Query

The Journal Entry Query app is accessed in the Reports category within a Longview Close system. It may not be available or located in a different location in other systems.

Executing a Journal Entry Query

Click on the Journal Entry Query link in the Longview Client navigation page. The Journal Entry Query form appears.

  1. Complete the following fields:
    1. Category: Select the category of journal entries you wish to query. The default is All.

      • All — All categories of journal entries.

      • Standard — Journal entries created by users or via calculated journal entries.

      • Elimination — Journal entries created by the system for intercompany eliminations.

    2. Subcategory: Select to restrict the query to a single subcategory of journal entry. The list of subcategories is filtered based on the category selected. The default is All.

    3. Post Periods (Start/End): Select a start and end period for the query. If one of the options is left blank the query will be made for a single period only. The default is the current period (defined by system attribute SGPCurrentPeriod).

    4. Restrictions: Use restrictions to only return journal entries that contain the combination of symbols you specify. By default, no restrictions are set and all journal entries that meet the other criteria will be returned by the query. You can only select a single symbol for each dimension, but the selection can be a parent or leaf symbol.

    5. Report: Select the type of report to generate:

      • Headers — Return only journal entry headers.

      • Details — Return only journal entry details.

      • Details with no translation — Return only journal entry details and exclude details translated by foreign exchange.

      Note: Translated details only exist for elimination journal entries unless the option to perform detailed journal entry translation is enabled by system attribute SFXJE.

    6. Generate CSV Only: Use this option to generate the results of the query directly to a comma-separated values (.csv) file. If this option is not selected the results will be presented in a table. The table will allow you to generate a comma-separated values (.csv) file from the toolbar.

  2. Click OK.
  3. Depending on the result of your query and the option you selected, one the following will occur:
    • If your query returned no results, a message appears.
    • If you selected the Generate CSV Only option, the Export Completed dialog appears.
    • If you did not select the Generate CSV Only option, a table containing the results of the query appears.

Viewing the headers results table

The journal entry query table appears with header information for the query results. The title text area contains a summary of the query options you selected.

Note:

  • The toolbar contains an Export and an Export to Excel button.

  • The Export button will generate a comma-separated values (.csv) file containing all the results of the query, ignoring any filters or sorting.

  • The Export to Excel button will generate an Excel workbook (.xslx) file containing only the rows that are currently visible but ignoring any grouping of rows

The table contains these columns:

Column Description

JE ID

The JE Identifier.

Note: The JE ID is unique by category and creation period.

Creation Period

The period the Journal Entry was created in

Creation Period Description

The description of the period the Journal Entry was created in

Category

The category of the Journal Entry. This can be one of the following:

  • Standard
  • Elimination

Subcategory

The subcategory of the Journal Entry.

Post Period

The period the Journal Entry was posted to.

Post Period Description

The description of the period the Journal Entry was posted to

Type

The type of Journal Entry. This can be one of the following:

  • Current Period
  • Restatement
  • PPA (Prior Period Adjustment)
  • Future Period

Financial

Indicates whether the journal entry is financial

Calculated

Indicates whether the journal entry is a calculated journal entry

Shared

Indicates whether the journal entry is shared

Recurring

Indicates whether the journal entry is recurring

Status

Indicates the status of the journal entry

Application ID

Displays the application ID for the journal entry

Creator

Display the username of the person who created the journal entry.

Elimination journal entries will display the database owner as the creator.

Calculated journal entries created by an event will display EVENT_ADMIN as the creator.

Description

The description of the Journal Entry.

Created

The date and time the journal entry was created

Last Modified

The date and time the journal entry was last modified

Viewing the details results table

The journal entry query table appears with journal entry details for the query results. The title text area contains a summary of the query options you selected.

Note:

  • The toolbar contains an Export and an Export to Excel button.

  • The Export button will generate a comma-separated values (.csv) file containing all the results of the query, ignoring any filters or sorting.

  • The Export to Excel button will generate an Excel workbook (.xslx) file containing only the rows that are currently visible but ignoring any grouping of rows

The table contains these columns:

JE ID

The JE Identifier.

Creation Period Description

The description of the period the Journal Entry was created in

Category

The category of the Journal Entry. This can be one of the following:

  • Standard
  • Elimination

Subcategory

The subcategory of the Journal Entry.

Description

The description of the Journal Entry.

Line Number

The line number within the Journal Entry.

Post Period

The period the Journal Entry was posted to.

Post Period Description

The description of the period the Journal Entry was posted to

Account

The account description corresponding to the Journal Entry line of detail.

Currency

The currency of the displayed value. This can be either:

  • A leaf currency (i.e.: USD)
  • A translated currency (i.e.: USDFX)

Value

The value of the Journal Entry adjustment in the currency displayed.

Dimension Name(s)

A column will be displayed showing the corresponding symbol name in all other dimensions related to the Journal Entry line of detail.
