Understanding Task Types And Roles

Task Management has two types of tasks: workflow tasks and assigned tasks.

  • Workflow tasks can be assigned to a preparer, reviewer, and approver who can track task status through a workflow.
  • Assigned tasks are assigned to one or more users, but do not include a preparer, reviewer, or approver.

Task Management includes the following roles:

  • Administrator

    The Administrator has write access to nearly all fields in Task Management, except for ID and Created By. They are the only users who can create tasks and archive tasks.

  • Preparer

    The Preparers are the users most likely to complete the actual work involved in workflow tasks. When they are finished completing the task, they can send the task to the Reviewer. Preparers are applicable only when the administrator selects Workflow for a task.

  • Reviewer

    The Reviewers are the users who will review the task and send it on to the Approver for approval. Reviewers are applicable only when the administrator selects Workflow for a task.

  • Approver

    The Approver approves the task and can update the date fields involved in a task. Approvers are applicable only when the administrator selects Workflow for a task.

  • Assigned User

    Assigned users can update all the fields related to task completion and change the date fields for a task. Assigned users apply when the administrator does not use Workflow for a task.

The following table lists the various roles in Task Management and the fields that are applicable to each role.
