Monitoring Data Locks

For troubleshooting purposes, it is sometimes useful to view the locks in the system. Use the Data Locks tool to help you to determine if a lock is causing a conflict when you attempt to lock a data area.

All locks in the Data Server are displayed in a list on the Data Locks page. If you have Locks authorization, you can delete any lock in the system. If you do not have Locks authorization, you can delete your own locks only.

Note: Locks authorization is set in Longview Application Administrator if you are using the Longview Add-In for Office or Longview Dashboard, or the Users and User Groups editors if you are using Longview Tax. For more information, see the Longview Application Administrator Guide or the Longview Tax Administrator’s Guide.

To refresh the locks list at any time, click Refresh. This updates the locks list to reflect locks currently in the system and removes any highlighting applied by a lock description search.

Note: Clicking Refresh does not remove an applied filter or return a sorted list to the default sort order.

Accessing the Data Locks tool

You can access the Data Locks tool from the following locations, depending on the setup of your system and the products you have purchased:

  • Longview Add-In for Office—The Data Locks tool is available from the View group in the ribbon.
  • Longview Close —The Data Locks tool is available from the Consolidate module in the Administration category of the navigation pane under the Monitoring folder.
  • Longview Dashboard—The Data Locks tool is included with Longview Dashboard Designer as a system panel. Your System Administrator must add this panel to the appropriate Dashboard pages for you to access it.
  • Longview Transfer Pricing —The Data Locks tool is available from the Transfer Pricing module in the Administration category of the navigation pane under the Monitoring folder.
  • Longview Tax—The Data Locks tool is available from the Tax Provision module in the Administration category of the navigation pane under the Monitoring folder.

To access the Data Locks tool from the Longview Add-In for Office:

  1. Click the Longview tab.
  2. In the View group, click Locks. The Data Locks tool opens in a new window.

To access the Data Locks tool in Close:

  1. From the Consolidate module, Click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click Data Locks. The Data Locks tool opens in the workspace.

To access the Data Locks tool from your Longview Dashboard:

  1. On your Longview Dashboard page, click the View Locks link in the Display Locks panel. The Data Locks tool opens in a new window.

To access the Data Locks tool in Longview Transfer Pricing:

  1. From the Transfer Pricing module, Click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click Data Locks. The Data Locks tool opens in the workspace.

To access the Data Locks tool in Tax Provision:

  1. From the Tax Provision module, Click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click Data Locks. The Data Locks tool opens in the workspace.

Viewing locks

You can use the Data Locks tool to view all locks in the Data Server, search lock descriptions to highlight specific locks, and view data area information of a selected lock.

To view Data Locks:

  1. Open the Data Locks tool using the appropriate method.

    For more information, see “Accessing the Data Locks tool”.

  2. Review the information in the following columns:
    FieldDescription

    ID

    The system-assigned ID of the lock.

    Description

    The description of the lock, generated automatically when the lock is created.

    Owner

    The username of the owner of the lock.

    Schedule

    The name of the schedule, if the lock involves schedule data.

    Created

    The date and time of creation of the lock.

  3. To search lock descriptions, type the characters that you want to search for in the Search Descriptions field. Matching characters are highlighted in the Description column.
    1. Click Next to select the next lock row containing highlighted characters.
    2. Click X to clear the Search Descriptions field and remove all highlighting.
  4. To view the details of a specific lock, complete the following steps:
    1. Select the appropriate lock row.
    2. Click Details. The Details dialog opens.
    3. Review the data area information for the lock.

    Note: Click Copy details to clipboard if you want to copy the lock data area information to the Microsoft Office clipboard. If you do not have read access for a symbol, (Unknown) is displayed in that detail row.

  5. When you are finished viewing lock details, click OK to close the Details dialog.

Filtering locks

You can apply a filter to the locks list so that only locks that match the specified criteria display. You can also remove a filter that you have applied.

To filter locks:

  1. On the Data Locks page, click Filter. The Filter dialog opens.
  2. Complete one or more of the following fields.
    FieldDescription

    Owner

    Type all or part of a user name to filter the locks list for locks created by a specific user.

    Schedule

    Type all or part of a schedule name to filter the locks list for locks for a specific Schedule.

    Dimension

    Select the dimension that contains the symbol that you want to filter for. If you specify a dimension, you must also select a symbol in the Symbol field.

    Symbol

    Select a symbol from the hierarchy to filter the locks list for all locks on that symbol. Alternately, you can use the Symbol Selector to select the symbol you want to filter for.

    For more information on using the Symbol Selector, see “Using the Symbol Selector.”

    Note: This field is available only if you select a dimension.

  3. Click OK. Locks that match your specified filter criteria are displayed in the locks list.

    Note: Applying a filter automatically removes an existing filter.

  4. To remove a filter, you have applied to the locks list, click Remove Filter.

Deleting locks

If a lock is causing a conflict when you attempt to lock a data area, you may be able to delete it, depending on your authorization.

To delete locks:

  1. In the Data Locks list, select the check box adjacent to the locks you want to delete. To select all locks, use the Select All check box in the header row. The Delete button becomes available.

    Note: If you do not have authorization to delete a lock, the check box adjacent to the lock is unavailable.

  2. Click Delete. A confirmation dialog opens.

    Caution: If you delete a lock it cannot be recovered. Use this function with caution.

  3. Click Delete Lock to delete the selected lock or locks and return to the Data Locks page.

  2. Expand the Monitoring folder.
  3. Click Data Locks. The Data Locks tool opens in the workspace.

To access the Data Locks tool from your Longview Dashboard:

  1. On your Longview Dashboard page, click the View Locks link in the Display Locks panel. The Data Locks tool opens in a new window.

To access the Data Locks tool in Longview Transfer Pricing:

  1. From the Transfer Pricing module, Click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click Data Locks. The Data Locks tool opens in the workspace.

To access the Data Locks tool in Tax Provision:

  1. From the Tax Provision module, Click on the Administration category.
  2. Expand the Monitoring folder.
  3. Click Data Locks. The Data Locks tool opens in the workspace.

Viewing locks

You can use the Data Locks tool to view all locks in the Data Server, search lock descriptions to highlight specific locks, and view data area information of a selected lock.

To view Data Locks:

  1. Open the Data Locks tool using the appropriate method.

    For more information, see “Accessing the Data Locks tool”.

  2. Review the information in the following columns:
    FieldDescription

    ID

    The system-assigned ID of the lock.

    Description

    The description of the lock, generated automatically when the lock is created.

    Owner

    The username of the owner of the lock.

    Schedule

    The name of the schedule, if the lock involves schedule data.

    Created

    The date and time of creation of the lock.

  3. To search lock descriptions, type the characters that you want to search for in the Search Descriptions field. Matching characters are highlighted in the Description column.
    1. Click Next to select the next lock row containing highlighted characters.
    2. Click X to clear the Search Descriptions field and remove all highlighting.
  4. To view the details of a specific lock, complete the following steps:
    1. Select the appropriate lock row.
    2. Click Details. The Details dialog opens.
    3. Review the data area information for the lock.

    Note: Click Copy details to clipboard if you want to copy the lock data area information to the Microsoft Office clipboard. If you do not have read access for a symbol, (Unknown) is displayed in that detail row.

  5. When you are finished viewing lock details, click OK to close the Details dialog.

Filtering locks

You can apply a filter to the locks list so that only locks that match the specified criteria display. You can also remove a filter that you have applied.

To filter locks:

  1. On the Data Locks page, click Filter. The Filter dialog opens.
  2. Complete one or more of the following fields.
    FieldDescription

    Owner

    Type all or part of a user name to filter the locks list for locks created by a specific user.

    Schedule

    Type all or part of a schedule name to filter the locks list for locks for a specific Schedule.

    Dimension

    Select the dimension that contains the symbol that you want to filter for. If you specify a dimension, you must also select a symbol in the Symbol field.

    Symbol

    Select a symbol from the hierarchy to filter the locks list for all locks on that symbol. Alternately, you can use the Symbol Selector to select the symbol you want to filter for.

    For more information on using the Symbol Selector, see “Using the Symbol Selector.”

    Note: This field is available only if you select a dimension.

  3. Click OK. Locks that match your specified filter criteria are displayed in the locks list.

    Note: Applying a filter automatically removes an existing filter.

  4. To remove a filter, you have applied to the locks list, click Remove Filter.

Deleting locks

If a lock is causing a conflict when you attempt to lock a data area, you may be able to delete it, depending on your authorization.

To delete locks:

  1. In the Data Locks list, select the check box adjacent to the locks you want to delete. To select all locks, use the Select All check box in the header row. The Delete button becomes available.

    Note: If you do not have authorization to delete a lock, the check box adjacent to the lock is unavailable.

  2. Click Delete. A confirmation dialog opens.

    Caution: If you delete a lock it cannot be recovered. Use this function with caution.

  3. Click Delete Lock to delete the selected lock or locks and return to the Data Locks page.
