Managing hierarchies

Manage Hierarchies allows you to create and delete symbols from non-standard hierarchies, and edit the properties of existing symbols.

Non-standard hierarchies - overview

In Longview Close, there are 6 standard dimensions:

  1. ACCOUNTS
  2. TIMEPERIODS
  3. ENTITIES
  4. DATAVIEWS
  5. SCENARIOS
  6. CURRENCIES

If your Longview Close system has more than the 6 standard dimensions listed above, any additional dimension can be managed using the Manage Hierarchies App.

In Longview Tax and Longview Transfer Pricing, the following dimensions can be managed:

  1. DETAILS
  2. SEGMENTS

Accessing manage hierarchies

  1. Select the Consolidate, Tax Provision or Transfer Pricing module.
  2. Select the Administration category.
  3. Expand Other Dimensions
  4. Click Manage Hierarchies. The Manage Hierarchies dialog appears and contains the following selections:
    FieldDescription

    Dimension

    Select a dimension to manage

    Note: Only non-standard dimensions will be available for selection. For more information, see Non-standard hierarchies - overview

    Root

    Select a root within the selected dimension to manage

    Note: All dimension roots can be managed, with the exception of root symbols <DIMENSION>_Input and <DIMENSION>_Default.

  5. Click OK. The Manage Hierarchies dialog appears and contains the following options:
    • Import
    • Manage
    • Export

Importing hierarchies

The import option in the Manage Hierarchies dialog allows you to create and update non-standard dimension symbols in the database from a .csv file.

To import hierarchies:

  1. For Option, select Import.
  2. Select the .csv file to import from.
  3. Click OK. A table will be displayed showing the summary of all actions performed by the import.

where:

  • Name is the name of the non-standard dimension symbol.
  • Description is the description of the non-standard dimension symbol.
  • Type indicates whether the symbol is STATIC or STANDARD.
  • Parent is the name of a symbol under the selected root hierarchy to assign the symbol to. The symbol will become a child of the specified parent, and the values in the parent will be calculated from all its children.
  • Sort Order indicates the order of the symbol under the parent, with lower numbers ordered before higher numbers. You can specify NULL or 0, which will assign the sort order as 0, which results in the symbol being sorted by when it was created.
  • Weight defines how the symbol will roll up to it’s parent. Valid options are +, - and 0.

Managing hierarchies

The Manage option in the Manage Hierarchies dialog allows you to create, update and delete symbols from within the Manage Hierarchies table.

To manage hierarchies:

  1. For Option, select Manage.
  2. Select the symbol to manage.

    Note: You can only select a symbol to manage under the dimension and root symbol selected.

    Note: You may leave the symbol selection blank to start with an empty table. This can be used if symbols only need to be added; not deleted or modified.

  3. In the Manage Hierarchies table, the list of symbols selected is displayed.

Adding a symbol

Click Add to add a new symbol. Symbols are not added to the database until you click Apply.

Note: You can add a new symbol that has similar settings by selecting an existing row and clicking duplicate.

For each symbol fill in the following fields:

Name

Enter the name of the symbol.

Note: The name of the symbol is limited to 31 characters.

Description

Enter a description for the symbol.

Note: The description of the symbol is limited to 100 characters.

Type

Select STANDARD or STATIC to indicate the type of the symbol.

Note: The type for STATIC symbol types cannot be modified.

Parent

This is a read only field to indicate if the symbol is a parent symbol.

Parent Name

Select or enter the name of the parent to assign the symbol to.

Note: The list only contains parents that already exist in the database. You can enter the name for the parent to make a symbol being added into a parent

Sort Order

Enter a number to define the order of the symbol under the parent. Symbols are sorted from low to high.

Weight

Select +, - or 0 to indicate the weight of the symbol.

Note: The weight for STATIC symbol types cannot be modified.

Deleting a symbol

Delete a symbol by selecting the row and clicking delete. The symbol is not deleted from the database until you click Apply.

Modifying a symbol

You can change the properties of an existing symbol:

  1. Modify the description by editing the value in the ‘Description’ cell.
  2. Change the type by selecting a different value.

    Note: The type for STATIC symbol types cannot be modified.

  3. Switch the parent of the symbol by selecting or entering a new parent name.

    Note: The parent specified must either already exist in the database or be a new symbol that will be added before the symbol being modified.

  4. Change the order the symbol appears under its parent by modifying the sort order value.
  5. Change the weight of the symbol by selecting a different value.

    Note: The weight for STATIC symbol types cannot be modified.

No changes are applied until you click Apply.

Applying changes

To apply changes to the non-standard hierarchy symbols, click Apply.

For new rows in the table:

  1. Each new symbol will be added under the selected parent symbol.

    Note: New rows in the table where the symbol matches an existing symbol in the database, will modify the existing symbol.

For modified symbols:

  1. Any description changes will be applied.
  2. Any changes to the ‘ Type’ setting will be applied.

    Note: The type for STATIC symbol types cannot be modified.

  3. If the parent symbol is changed, the symbol will be reassigned to the new parent with the specified sort order.
  4. Any changes to the sort order (same parent symbol) will be applied.
  5. Any changes to the ‘Weight’ setting will be applied.

    Note: The weight for STATIC symbol types cannot be modified.

For deleted symbols:

  1. Each deleted symbol will be confirmed before deleting.
    • If confirmed, the related symbol is deleted.
    • Otherwise, the row is restored to the table.

Results:

  1. All actions performed are presented at the end of processing with:
    • Each row identified by its row number.
    • The action performed or the reason any error occurred.
  2. Any valid changes, not cancelled, are applied.

Refreshing the symbols

Click Refresh to refresh the list of symbols.

Click Selections to change the selected symbol and refresh the list of symbols.

In either case, if there are any unapplied changes, you will be prompted to apply or discard any changes that have not yet been applied.

  • Choose Apply Changes to apply any changes made, then refresh the list of symbols. If there are any errors the refresh will not be performed.
  • Choose Discard Changes to discard any changes made, then refresh the list of symbols.
  • Click Cancel to return to the table without refreshing the list of symbols

Importing into the symbols table

Click Import to import from a .csv file into the symbols table.

  1. Select the file to import. See .csv file example: for import file format.
  2. You may select the option to replace existing rows
    OptionDescription

    Replace Existing Rows

    If this option is checked, all rows in the table view will be cleared and replaced with the symbols in the import file.

    Note: This will only clear the symbols from the table view. It will NOT delete any symbols in the database

    Do Not Replace Existing Rows

    If this option is unchecked, all entries in the import file will be appended to the table view.

    Note: Any symbols that exist multiple times in the same import file will be initially duplicated in the table view. Any symbols that exist in the import file AND already exist in the table prior to import will be initially duplicated in the table view. Once you click Apply, the settings for the last instance of the duplicate symbols will be used.

  3. Click OK. The file will be imported into the table.
  4. Click Apply to save the changes.

Exporting from the symbols table

Click Export to export from the symbols table to a .csv file.

  1. Select the .csv file to export to.

    Note: If the file selected does not currently exist, it will be created during the export process.

  2. Click OK. A confirmation dialog will appear.
  3. Click View File to view the exported file.

Exporting hierarchies

The Export option in the Manage Hierarchies dialog allows you to export symbols and their related settings from the database to a .csv file.

To export symbols:

  1. For Option, select Export.
  2. Select the .csv file to export to.

    Note: If the file selected does not currently exist, it will be created during the export process.

  3. Select symbols to export.
  4. Click OK. A confirmation dialog will appear.
  5. Click View File to view the exported file.

Importing hierarchies

The import option in the Manage Hierarchies dialog allows you to create and update non-standard dimension symbols in the database from a .csv file.

To import hierarchies:

  1. For Option, select Import.
  2. Select the .csv file to import from.
  3. Click OK. A table will be displayed showing the summary of all actions performed by the import.

where:

  • Name is the name of the non-standard dimension symbol.
  • Description is the description of the non-standard dimension symbol.
