Manage allocation targets

Manage allocation targets allows you to create and delete allocation target symbols and edit the properties of existing allocation target symbols.

The dimension that contains the allocation target symbols, as well as the allocation target parent symbol are defined by the following system attributes:

  • ASAllocRuleDim - Allocation Rule Dimension
  • ASAllocRuleParent- Allocation Rule Parent

Depending on your system, the attributes will be defaulted as follows:

This section provides information on these main topics:

Accessing manage allocation targets

  1. Select the Consolidate module (Longview Close) or the Transfer Pricing module (Longview Transfer Pricing)
  2. Select the Administration category.
  3. Expand Allocations.
  4. Click Manage Allocation Targets.
    The Manage Allocation Targets dialog appears and contains the following options:
    • Import
    • Manage
    • Export

Importing allocation target symbols

The import option in the Manage Allocation Targets dialog allows you to create and update allocation target symbols in the database from a .csv file.

To import allocation target symbols:

  1. For Option, select Import.
  2. Select the .csv file to import from. 
  3. Click OK. A table will be displayed showing the summary of all actions performed by the import.

where:

  • Allocation Target is the name of the allocation target symbol.
  • Description is the description of the allocation target symbol.
  • Parent is the name of an allocation target symbol under the allocation rule parent (defined by system attribute ASAllocRuleParent) to assign the allocation target symbol to. The allocation target symbol will become a child of the specified parent, and the values in the parent will be calculated from all its children.
  • Sort Order indicates the order of the allocation target symbol under the parent, with lower numbers ordered before higher numbers. You can specify NULL or 0, which will assign the sort order as 0, which results in the symbol being sorted by when it was created.
  • Weight defines how the allocation target symbol will roll up to it’s parent. Valid options are +, - and 0.

Managing allocation target symbols

The Manage option in the Manage Allocation Targets dialog allows you to create, update and delete allocation target symbols from within the Manage Allocation Targets table.

To manage allocation target symbols:

  1. For Option, select Manage.
  2. Select the allocation target symbol to manage.

    Note: You may leave the allocation target symbol selection blank to start with an empty table. This can be used if allocation target symbols only need to be added; not deleted or modified.

  3. In the Manage Allocation Targets table, the list of allocation target symbols selected is displayed.

This section provides information on these main topics:

Adding an allocation target symbol

  1. Click Add to add a new allocation target symbol. Allocation target symbols are not added to the database until you click Apply.

    Note: You can add a new allocation target symbol that has similar settings by selecting an existing row and clicking duplicate.

  2. For each allocation target symbol, fill in the following fields:

    Parameter

    Description

    Allocation Target

    Enter the name of the allocation target symbol.

    Note: The name of the allocation target symbol is limited to 31 characters.

    Description

    Enter a description for the allocation target symbol.

    Note: The description of the allocation target symbol is limited to 100 characters.

    Parent

    This is a read only field to indicate if the allocation target symbol is a parent.

    Parent Allocation Select or enter the name of the parent to assign the allocation target symbol to.

    Note: The list only contains parents that already exist in the database. You can enter the name for the parent to make an allocation target symbol being added into a parent.

    Sort Order

    Enter a number to define the order of the allocation target symbol under the parent. Allocation target symbol are sorted from low to high.

    Weight

    Select +, - or 0 to indicate the weight of the allocation target symbol.

Deleting an allocation target symbol

Delete an allocation target symbol by selecting the row and clicking delete. The allocation target symbol is not deleted from the database until you click Apply.

Modifying an allocation target symbol

You can change the properties of an existing allocation target symbol:

  1. Modify the description by editing the value in the ‘Description’ cell.
  2. Switch the parent by selecting or entering a new parent name.

    Note: The parent specified must either already exist in the database or be a new allocation target symbol that will be added before the allocation target symbol being modified.

  3. Change the order the allocation target symbol appears under its parent by modifying the sort order value.
  4. Change the weight of the allocation target symbol by selecting a different value.

    No changes are applied until you click Apply

Applying changes

To apply changes to the allocation target symbols, click Apply.

For new rows in the table:

  1. Each new allocation target symbol will be added under the selected parent symbol.

    Note: New rows in the table where the allocation target symbol matches an existing allocation target symbol in the database, will modify the existing symbol.

For modified allocation target symbols:

  1. Any description changes will be applied.
  2. If the parent allocation target symbol is changed, the allocation target symbol will be reassigned to the new parent with the specified sort order.
  3. Any changes to the sort order (same parent) will be applied.
  4. Any changes to the ‘Weight’ setting will be applied.

For deleted allocation target symbols:

  1. Each deleted allocation target symbol will be confirmed before deleting.
    • If confirmed, the related symbol is deleted.
    • Otherwise, the row is restored to the table.

Results:

  1. All actions performed are presented at the end of processing with:
    • Each row identified by its row number.
    • The action performed or the reason any error occurred.
  2. Any valid changes, not cancelled, are applied.

Refreshing the allocation target symbols

  1. Click Refresh to refresh the list of allocation target symbols.
  2. Click Selections to change the selected allocation target symbol and refresh the list of allocation target symbols.

In either case, if there are any unapplied changes, you will be prompted to apply or discard any changes that have not yet been applied.

  • Choose Apply Changes to apply any changes made, then refresh the list of allocation target symbols. If there are any errors the refresh will not be performed.
  • Choose Discard Changes to discard any changes made, then refresh the list of allocation target symbols.
  • Click Cancel to return to the table without refreshing the list of allocation target symbols.

Importing into the allocation target symbols table

  1. Click Import to import from a .csv file into the allocation target symbols table.
  2. Select the file to import. See .csv file example: for import file format.
  3. You may select the option to replace existing rows

    Replace Existing Rows

    If this option is checked, all rows in the table view will be cleared and replaced with the allocation target symbols in the import file

    Note: This will only clear the allocation target symbols from the table view. It will NOT delete any allocation target symbols in the database.

    Do Not Replace Existing Rows

    If this option is unchecked, all entries in the import file will be appended to the table view.

    Note: Any allocation target symbols that exist multiple times in the same import file will be initially duplicated in the table view. Any allocation target symbols that exist in the import file AND already exist in the table prior to import will be initially duplicated in the table view. Once you click Apply, the settings for the last instance of the duplicate allocation target symbol will be used.

  4. Click OK. The file will be imported into the table. 
  5. Click Apply to save the changes.

Exporting from the allocation target symbols table

  1. Click Export to export from the allocation target symbols table to a .csv file.
  2. Select the .csv file to export to.

    Note: If the file selected does not currently exist, it will be created during the export process.

  3. Click OK. A confirmation dialog will appear. 
  4. Click View File to view the exported file.

Exporting allocation target symbols

The Export option in the Manage Allocation Targets dialog allows you to export allocation target symbols and their related settings from the database to a .csv file.

To export allocation target symbols:

  1. For Option, select Export.
  2. Select the .csv file to export to.

    Note: If the file selected does not currently exist, it will be created during the export process.

  3. Select symbols to export.
  4. Click OK. A confirmation dialog will appear. 
  5. Click View File to view the exported file.

where:

  • Allocation Target is the name of the allocation target symbol.
  • Description is the description of the allocation target symbol.
  • Parent is the name of an allocation target symbol under the allocation rule parent (defined by system attribute ASAllocRuleParent) to assign the allocation target symbol to.
